How to choose

Start with the work you need to document. A small firm may need a drone for occasional site photos, while a larger team may need repeatable surveys, progress records, or inspections across several projects. List the deliverables, accuracy needs, flight conditions, and file formats before comparing equipment. Ask who will fly, process, review, and store each capture.

Check how the system fits your current tools. Confirm that imagery, point clouds, and models can move into the design, mapping, or project records software your staff already use. Ask about data ownership, export options, cloud storage, retention, and what happens to access if you end the service. Read the contract for support limits, replacement terms, warranty exclusions, and any required subscription or renewal commitments.

Training is part of the purchase. Find out how much instruction is included, whether it covers flight planning and data processing, and how new staff can get help later. Consider the time needed to maintain equipment, manage batteries, check data quality, and keep operating procedures current. A capable system can still be a poor fit if only one person can use it.

Check local and state requirements before planning routine flights. Depending on the work and location, approvals, operator qualifications, airspace permissions, or site access rules may apply. Ask the vendor what guidance it provides, but confirm requirements with the relevant authorities and your client.

References matter. Speak with firms that do similar work at a similar scale. Ask what they use the equipment for, what took longer than expected, and how responsive support has been. Request a demonstration using a representative site or sample deliverable. Keep the evaluation tied to your actual workflow.

  • What contract, support, warranty, renewal, and data-exit terms apply?
  • Which firm sizes and project types is this system designed to serve?
  • Can staff transfer the outputs into our existing design, mapping, and records tools?
  • What training is included, and how much time will operators need to become proficient?
  • Can you provide references from civil engineering firms like ours and explain relevant state approval requirements?
