How to choose

Start with the work your firm actually performs. A carrier or broker should understand your mix of civil design, construction support, inspections, and project delivery methods. Ask how the policy treats claims tied to subconsultants, joint ventures, and work performed across state lines. Read the definitions of professional services and insured parties. A narrow definition can leave gaps between your contracts and your coverage.

Check contract terms alongside the policy. Look at limits, deductibles, exclusions, consent requirements, and how defense costs affect the available limit. Ask what happens when a client requests a certificate or a contract requires specific coverage wording. Have your insurance adviser and contract reviewer compare those terms with your standard agreements. Small wording differences matter.

Fit matters, too. A small firm may need help selecting coverage without adding a heavy renewal process. A larger firm may need support for multiple offices, subsidiaries, and project teams. Ask who handles routine questions, who helps when a claim arrives, and how renewals are managed. Clarify which tasks your staff must complete and whether information can be shared through tools you already use, such as your accounting or project management system. Avoid a process that requires duplicate entry without a clear reason.

Ask about onboarding and ongoing training. Find out how much time principals and project managers must spend gathering documents or learning a portal. Request references from firms with a similar size, discipline mix, and project profile. Speak with those firms about response times, renewal work, and support during a claim. If coverage is needed in several states, confirm the carrier and broker are approved or licensed where required, and ask who checks that status as the firm expands.

  • Which contract clauses or project types are most likely to fall outside this policy?
  • How do you tailor service and coverage for a firm of our size and structure?
  • Can our staff use existing systems, and what information must we enter separately?
  • What training is required at onboarding and at renewal?
  • Can you provide references from similar design firms and confirm relevant state approvals?
