How to choose
Start with the work you need the system to handle. A small civil firm may need a clear place for drawings, submittals, meeting notes, and review comments. A larger firm with several offices may need permission controls by project, client, and role. Make a list of must-have tasks before you see a demo.
Check how the system fits your current tools. Ask whether it can exchange files and project data with your design software, email, accounting system, and file storage. Confirm what happens to comments, links, and revision history when files move. A demo should use a real project workflow, not sample data alone.
Read the contract closely. Check the renewal date, notice period, user limits, data export format, support hours, and what happens to your records if you leave. Ask who owns uploaded files and whether you can retrieve a full project archive. Get any promises about setup or support in writing.
Plan for training time. Find out who will configure the system, train staff, and answer questions after launch. Ask how long a project lead and a field user typically need to learn their daily tasks. Keep the first rollout focused. Then expand if the process works.
Ask for references from firms similar to yours in size and project mix. If your work depends on state or local approvals, confirm that the system can track required forms, review steps, and records for those agencies. Verify the process with your own agency contacts.
- Can you show us a drawing review and revision workflow using our current tools?
- What are the renewal, cancellation, user limit, support, and data export terms?
- What setup and training will our project managers, designers, and field staff need?
- Can we speak with a civil engineering firm similar to ours that has used the system on comparable projects?
- How does the system record state or local approval steps, and can we retrieve those records later?
