How to choose

Start with the work your firm actually does. A team focused on traffic studies may need analysis and modeling tools, while a transportation design group may need software for corridor plans, signal timing, or roadway operations. List your common project types, deliverables, and file formats before you compare products. Ask who will use the software and how often. A package built for a large transportation department may be too complex for a small consulting team.

Check how the software fits your current workflow. Confirm that it can exchange files with your CAD, GIS, and project management tools, and ask what happens when an import or export fails. Request a demonstration using a typical project from your firm. Have the staff who prepare and review deliverables try it. A polished sales demo is not enough.

Read the contract closely. Check renewal dates, cancellation notice periods, limits on user seats, data retention, and what happens to project files if you leave. Clarify whether updates or support are included and how support requests are handled. Ask for the training plan, including time needed for new staff to work independently. Short sessions help. So does access to sample files and written guidance.

Verify regulatory fit before committing. Where state or local approval is required, confirm that the relevant agency accepts the software's methods, output, and file formats. Ask vendors for references from firms of similar size that do comparable work in your region. Speak with those firms about support, learning time, and any gaps they had to work around.

  • What contract terms apply to renewals, cancellation, user limits, and access to our data?
  • Which firm sizes and project types use this product successfully?
  • How does it exchange files with our existing CAD, GIS, and project management tools?
  • What training will our staff need, and how much time should we plan for?
  • Can you provide references from similar firms and evidence of relevant state approvals?
