Create one central register for each engineer’s individual licenses and each required firm authorization. Record the jurisdiction, license or registration number, status, expiration or renewal date, continuing education obligations, and the official source used to verify the record. Assign a named staff member to maintain each item. A spreadsheet can serve a small firm if someone owns the updates; a larger practice may need approval workflows and an audit trail.
Set reminders well before each deadline, with a second reminder for the person responsible for filing. A calendar alert is a prompt, not evidence that renewal is complete. Save the confirmation or receipt after renewal and update the register. Ask each board what changes must be reported, including address or name changes, ownership changes, responsible licensee changes, or disciplinary matters. Keep personal information limited to staff who need it.
Connect the register to business development and project setup. Before a proposal goes out, check that the named engineer and the firm can provide the proposed services in the project jurisdiction. Before kickoff, verify again if the scope, location, or staffing has changed. For public-sector pursuits, make license and firm authorization checks part of the qualification package review. Record the date checked and the official board source so another team member can confirm it.
For example, if a proposal adds a neighboring state late in the process, pause the internal approval long enough to check whether the assigned PE and entity are authorized there. If they are not, ask the board about the application path and adjust the proposed role or start date. Do not interpret a directory listing, old certificate, or another state’s credential as permission to practice.
Review the register at regular intervals and whenever the firm hires a licensed engineer, opens an office, or enters a new market. Ask the person responsible for compliance to report upcoming renewals and unresolved applications to firm leadership.
