How should an engineering firm manage website leads?

Assign a named person to monitor website inquiries, with a backup when that person is unavailable. Define where messages go, how they are acknowledged, and who decides the next step. A lead process should be simple enough that staff use it consistently. If the firm has a general inbox, check that it is monitored and that messages do not disappear when an employee leaves.

Record only information needed to assess and respond to the inquiry. That may include the source, date, service need, location, requested timing, preferred contact method, and next action. Limit access to staff who need the information, and follow the firm’s retention policy. Avoid copying sensitive project details into broadly shared notes.

Screen for conflicts, service fit, licensing, geographic authority, capacity, and procurement restrictions before promising work. A short first conversation may establish the client’s general need, but it should not substitute for scope review or technical due diligence. Do not commit to schedule, fees, approvals, or outcomes before the appropriate technical and commercial review.

Set a practical follow-up cadence and respect the person’s stated contact preferences. If the inquiry is outside the firm’s capabilities, respond clearly and promptly rather than leaving the prospect without direction. Route urgent safety issues through an appropriate channel, and state that a general website form is not an emergency service. Confirm that any listed urgent contact is actually monitored.

Track consistent stages, such as received, screened, conversation scheduled, proposal considered, and closed. Define what qualifies as an opportunity so the owner can review patterns without treating every form submission as likely revenue. Ask staff which inquiries were a fit, which were not, and whether visitors could find the right service information.
